Customer records, sites, and managing customer portal users.
Customers are the accounts you do work for. Each customer record holds the commercial and operational context around that relationship: contact details, billing preferences, linked vehicles, and optional sites such as yards, depots, or branches.
Why customer records matter
Strong customer records make the rest of the system easier to trust. Jobs, quotes, invoices, portal access, and fleet reporting all become clearer when the right vehicles and the right people are grouped under the correct customer account.
Sites
Sites let you group vehicles and paperwork under the same customer banner. They are especially useful for national fleets or multi-branch customers where one legal customer account still needs operational separation by location.
Using sites well helps your workshop direct jobs, reports, and billing context to the right part of the customer organisation without having to create duplicate customer accounts.
Customer portal access
From a customer’s profile, workshop staff can enable the portal, manage portal users, send invitations, and trigger password resets. Customers always sign in with email; they never type an internal workshop slug or tenant key.
Helpful operating habits
- Keep core contacts current, especially for customers who receive quotes, invoices, or portal access.
- Use one clean customer record per real customer relationship instead of creating near-duplicates with slightly different spellings.
- Review linked vehicles periodically so the fleet register reflects what the customer actually operates today.
